Managing a Sled Dog Race Online

The Tahquamenon Country Sled Dog Race needed online registration with payment processing, volunteer coordination, and sponsor management. Existing event management systems were either too expensive for a small non-profit or too generic to handle the specialized requirements of a sled dog race, so I built a custom WordPress-based solution tailored to their exact needs.

The Problem

Managing a sled dog race involves complexities that standard event registration systems don’t address:

Age-Restricted Classes – Youth classes have different eligibility requirements than adult professional classes. The system must calculate age as of race day (not as of registration) and only allow selection of eligible classes. Additionally, a minor’s liability waiver needs to be signed by the Parent/Guardian, requiring input of their name for electronic signing of the waiver during registration.

Capacity Management – Professional and Sport classes have hard limits (45 teams maximum). Once capacity is reached, new registrations automatically go to a waitlist. Youth classes remain unlimited.

Payment Integration – Registration requires payment online, with proper handling of payment confirmation, failures, and abandoned transactions.

Volunteer Coordination – The race depends on volunteers, requiring a signup system that collects availability, task preferences, and contact information.

Sponsor Recognition – Businesses sponsor the race at different levels. The website needs to display sponsor recognition appropriately while rotating visibility fairly.

The Solution: Three Integrated Plugins

Rather than building one monolithic system, I created three focused WordPress plugins:

Sled Dog Race Registration

The core registration plugin handles the complete race entry lifecycle.

Smart Class Filtering – When registrants enter their date of birth, the system calculates their age on race day and dynamically filters available classes.

Capacity Tracking with Waitlist – The dashboard displays real-time capacity (32/45 teams registered), automatically moving new registrations to waitlist when capacity fills. If a paid registrant cancels, the first waitlist entry can be promoted.

Email Confirmation and Notification – Mushers are automatically sent a confirmation email with payment transaction ID, race administrators receive an email notification with all registration information including the time-stamped acceptance of liability waiver.

REST API Payment Integration – The plugin integrates with PayPal, Square, and Stripe through their REST APIs for seamless payment processing. Payment status (Completed, Pending, Failed) is tracked with transaction IDs for reconciliation. Registration is only confirmed upon successful payment.

Race Results Import – After the race, administrators upload CSV files with results. The system imports times and placements, displaying them on the public results page organized by class.

Comprehensive Admin Interface – The WordPress admin panel provides dashboard statistics, searchable registration lists, detailed registration views, and inline editing. Administrators never touch the database directly.

Volunteer Signup

A lightweight plugin that collects volunteer information (tasks, availability, contact preferences) and emails completed signups directly to volunteer coordinators. The form includes honeypot anti-spam protection and comprehensive validation.

Sponsor Rotation

Manages sponsor recognition with tiered display logic – Gold sponsors on the homepage, all others on interior pages with weighted rotation frequency. Sponsors are managed through a familiar WordPress interface, and logos appear automatically with JavaScript-driven rotation.

Why Custom Instead of Off-the-Shelf?

Generic event platforms would require workarounds for age restrictions, manual capacity tracking, and either wouldn’t include sponsor management or would bundle unnecessary features. Those that would work well are prohibitively expensive, with annual subscriptions in the hundreds of dollars.

Building purpose-specific plugins created exactly what was needed. The TCSDR team gets straightforward tools matching their workflow, and participants get a registration experience that makes sense for sled dog racing.

The combined system, while code-intensive, requires little processing power and memory of the webserver, and is capable of processing hundreds of simultaneous registrations, volunteer signups, and sponsor rotations while requiring minimal technical intervention after the initial administrative setup.

Technical Foundation

All three plugins follow WordPress best practices: proper sanitization and validation, nonce verification for security, transient-based session management, responsive CSS for mobile compatibility, and comprehensive inline documentation. The registration plugin includes a detailed administrator’s manual covering setup, troubleshooting, and best practices.

Availability

These plugins were built specifically for TCSDR and remain proprietary to Nortek LLC. However, the registration plugin forms the foundation for Event Registration Manager – a comprehensive event management plugin currently in late-stage development that will be available by spring, 2026.
